Procedure 6.15.3.1: Educational Leave with Pay Procedures

College funds may be used to pay employee salaries while on educational leave provided all of the following conditions are met:

  1. Employee has submitted the appropriate “Educational Leave With Pay” application.
  2. The employee is employed full‑time on a 9, 10, 11, or 12‑month basis and has been employed by the College for a minimum of two years (based on the employee’s full-time employment anniversary date).
  3. The Educational Leave With Pay does not exceed eighty (80) working days (working day is defined as any portion of a work day) during the leave period in any twelve (12) month period.
  4. The President of the institution has approved the “Educational Leave With Pay.”
  5. The employee is under contract (full-time) to return to the institution the following year, has expressed his or her intention to honor the contract and must commit to working a minimum of two years subsequent to the leave.
  6. The employee pursuing course work toward an advanced degree must attend an accredited institution.
  7. The College’s needs must take priority over any employee’s requested work schedule adjustments. Depending on the employee’s request and any supervisory recommendations, the College may impose additional conditions.
  8. Requests for “Educational Leave With Pay” are considered on a first come first serve basis. Multiple requests in the same department are considered individually based on impact to the work area. There must be assurance from the appropriate Vice President that the duties and responsibilities of the employee are to be adequately performed during the absence of the employee.
  9. An employee who fails to honor procedural stipulation 5 (above) shall be required to repay the amount expended by the College for his/her “Educational Leave With Pay”. If the employee fulfills a portion of the contract before failing to honor the contract, repayment shall be based on a prorated portion.
  10. Requests for “Educational Leave With Pay” must be submitted in a timely manner for planning purposes, preferably during the budgeting process or ninety (90) days prior to the leave request.
  11. Employees may be considered for additional “Educational Leave With Pay” after completing two (2) consecutive years of employment subsequent to the completion of other “Educational Leave With Pay”.
  12. Employee shall provide verification of completion of course(s) taken; examples would be: letter, certificate, transcript, etc.
  13. Requests which do not meet the criteria for “Educational Leave With Pay” may be addressed in the “Leave Without Pay” policy.
